Frosty Fur Fest 2026 Code of Conduct Policy


Welcome to Frosty Furry Fest, where we’re pawsitively dedicated to creating an un-fur-gettable, safe, and inclusive experience for all! This Code of Conduct applies to everyone at Frosty Fur Fest 2026 (Feb 14–15, Crowne Plaza Baton Rouge), including attendees, committee members, volunteers, vendors, and guests. By attending, you agree to follow these rules to keep our wintery furry bash fun and welcoming for our furry family. Violations may result in warnings, removal, or bans. Questions? Contact us! 

1. Be Respectful and Inclusive

  • Treat Everyone with Kindness: Respect all attendees, regardless of fursona, gender, race, age, disability, orientation, or background. Harassment, bullying, or discrimination (e.g., offensive comments, unwanted physical contact, or exclusionary behavior) is not tolerated.
     

  • Consent is Key: Ask for permission before physical contact (e.g., hugs, high-fives), taking photos/videos, or sharing someone’s image on X or elsewhere. Respect boundaries, especially for fursuiters and minors.
     

  • Family-Friendly Vibe: Keep language, behavior, and costumes appropriate for all ages. Avoid explicit content, including in fursuits, art, or conversations (pup-hoods are acceptable), especially in public spaces (e.g., main ballroom, Dealers’ Den, etc). NSFW content will be sold in the 18+ Night Market. Please make sure that your items are concealed when moving throughout the hotel after leaving the vendor area. There is an 18+ event: Night Rave on day 1; the rules are: no genitalia exposed and no sexual conduct.
     

2. Follow Safety Protocols

  • Venue Rules: Adhere to Crowne Plaza Baton Rouge policies (main ballroom: 4,000 sq ft, 300–400 capacity; Camellia breakout rooms: 1,200 sq ft, 75–150 capacity). No running, climbing, or damaging property.
     

  • Pathways and Capacity: Maintain 10-ft pathways for accessibility and safety. Respect capacity limits labeled throughout the venue.
     

  • Sanitization: Use sanitized props and wash hands before/after using shared items. Headless Lounge provides sanitizing supplies for fursuiters.
     

  • Age Restrictions: Attendees under 16 require an 18+ chaperone with them at all times, verified at registration. Events like Night Dance Party, Night Market, and Night Rave are age-restricted. Id’s will be checked and minor wristbands (if applicable) will be given.
     

  • Fursuit Safety: Use Headless Lounge for breaks, hydration, and repairs. Report overheating or mobility issues to Fursuiter Safety Assistants.
     

3. Event-Specific Guidelines

  • Registration and Wristbands: Wear wristbands at all times, issued by Registration Attendants. Report lost wristbands to registration.
     

  • VIP Perks: Respect early entry and priority seating . Do not interfere with VIP areas (e.g., lounges).
     

  • Events: Follow Activity Facilitator instructions for events (e.g., Fursuit Parade, Talent Show, Frosty Fursona Scavenger Hunt). No disruptive behavior (e.g., interrupting performances, crowding photo ops).
     

  • Vendors: Respect labeled Dealers’ Den/Night Market rules. No unauthorized selling or soliciting.
     

  • Photography: Obtain consent before photographing/videotaping attendees, especially fursuiters or minors. Event Photographers and Social Media Assistants will request consent for official media.
     

4. Prohibited Behaviors

  • Harassment: Includes stalking, intimidation, unwanted advances, or offensive remarks (e.g., slurs, hate speech).
     

  • Disruptive Conduct: Includes excessive noise, throwing objects, or interfering with events (e.g., Talent Show, Night Rave).
     

  • Illegal Activities: No drugs, weapons, or illegal substances (per Louisiana law). Alcohol restricted to Crowne Plaza’s licensed areas and personal rooms.
     

  • Inappropriate Attire: No explicit, offensive, or unsafe costumes (e.g., sharp props, overly revealing outfits). Fursuits must allow safe movement and visibility.
     

  • Unauthorized Access: No entering restricted areas (e.g., staff/committee lounge, Platinum/Diamond Exclusive Lounge without wristband).
     

5. Reporting Violations

  • How to Report: Contact Safety Monitors, committee members (e.g., Safety Lead), or Directors Sandy and Thor. On-site, visit the registration desk or any volunteer. Anonymous reports accepted online through the contact page.
     

  • What to Expect: Reports are reviewed by the Safety Lead and event organizers promptly. We prioritize confidentiality and may involve Crowne Plaza security or local authorities for serious violations (e.g., illegal activities).
     

6. Consequences for Violations

  • Warnings: Minor infractions receive verbal/written warnings from Safety Monitors or committee members.
     

  • Removal: Serious or repeated violations (e.g., harassment, disruptive behavior) may lead to removal from the event without refund, determined by Safety Lead and organizers.
     

  • Bans: Severe violations (e.g., illegal activities, intentional harm) may result in a permanent ban from future events.
     

  • No Retaliation: Retaliation against reporters or staff is prohibited and may lead to immediate removal or bans.
     

7. Accessibility and Accommodations

  • Accessibility: Pathways and lounges are designed for accessibility. Please refer to the Accessibility Policy and if you have any question or accommodation request, please message us.
     

8. Changes to This Policy

We may update this Code of Conduct to keep it as fresh as new-fallen snow. Changes will be posted on frostyfurfest.com and announced on all socials. Check before February 14, 2026. Attendance implies agreement to the most current policy.

    • Committee/Volunteer Applications: Full name, preferred name, pronouns, email, phone, emergency contact, T-shirt size, experience, and motivation statement.
       

    • Vendors: Business name, contact name, email, phone, and payment details for Dealers’ Den/Night Market fees.
       

    • Event Participation: Names for fursuit parade, talent show, or open mic pre-registration.
       

  • Non-Personal Information:
     

    • Website usage data (e.g., pages visited, device type, IP address) via cookies or analytics tools (e.g., Google Analytics).
       

    • Photos/videos from events (e.g., Fursuit Parade, Talent Show, lounges) for promotion, with attendee consent.
       

2. How We Use Your Information

We use your information to make Frosty Furry Fest a wintery wonder:

  • Event Operations: Process registrations, issue wristbands, distribute swag, verify ages for 16+ and 18+ events (Night Rave, Night Market), and manage committee/volunteer roles.
     

  • Communication: Send event updates, schedules, and confirmations via email or Telegram.
     

  • Promotion: Share photos/videos on social media, website, or program book with consent, highlighting the community’s best moments.
     

  • Safety & Logistics: Ensure compliance with safety protocols. Verify parental consent for minors under 16.
     

  • Analytics: Improve website functionality and event planning using aggregated, anonymized data.
     

3. How We Share Your Information

We keep your data snug and secure, sharing only when necessary:

  • Service Providers: With trusted partners, payment processors, or Google Analytics (website usage), bound by confidentiality agreements.
     

  • Event Partners: With Crowne Plaza Baton Rouge for venue coordination (i.e. venue will only be told of your attendance) or artists for Gold/Platinum/Diamond perks, limited to necessary data.
     

  • Legal Requirements: If required by law (e.g., subpoenas) or to protect event safety (e.g., incident reports).
     

  • Consent-Based Sharing: Photos/videos shared on social media, website, or program book only with attendee consent.
     

We do not sell, rent, or trade your personal information to third parties for marketing purposes. We don’t want it done to us, so we will not do it to you!

 

4. Data Security

We take security seriously:

  • Technical Measures: Use SSL encryption for website data, secure servers for RegFox/Sched, and password-protected event drives for photos/videos.
     

  • Access Controls: Limit data access to committee members and authorized service providers.
     

  • Physical Measures: Store physical forms (e.g., parental consent for minors) securely at the event and destroy after March 1, 2026, unless required for records.
     

  • Retention: Retain registration/committee/volunteer data until March 31, 2026, for post-event follow-up; delete payment details after processing (except for audit purposes, per IRS rules). Photos/videos kept for promotion, with consent.
     

Despite our efforts, no system is 100% secure. We’ll notify you within 72 hours of any data breach impacting your information, per GDPR/CCPA guidelines.

5. Your Rights

You have control over your data:

  • Access: Request a copy of your data (e.g., registration details) by emailing sandy@louisianafurryconvention.com.
     

  • Correction: Update inaccurate data (e.g., name, email) via website account or email.
     

  • Deletion: Request data deletion after the event (post-March 31, 2026), except for legally required records.
     

  • Opt-Out: Unsubscribe from emails using the link in our messages or opt out of cookies via browser settings.
     

  • Photo/Video Consent: Withdraw consent for media use by contacting; we’ll remove your images from social media, website, or future program books.

Frosty Furry Fest 2026 (Feb 14–15, Crowne Plaza Baton Rouge) is committed to an un-fur-gettable, accessible experience for all! We comply with the Americans with Disabilities Act (ADA) to ensure our wintery furry bash is inclusive. Request accommodations by February 1, 2026, via contact page on our website or any of our socials!

1. Accessibility Features

  • Venue Access: Crowne Plaza Baton Rouge (4728 Constitution Ave) offers wheelchair-accessible entrances, elevators, and restrooms. Main ballroom (4,000 sq ft, 300–400 capacity) and breakout rooms (1,200 sq ft, 75–150 capacity) have 10-ft pathways for mobility devices.
     

  • Seating: Priority seating for attendees with disabilities in main ballroom events (behind VIP front-row). Platinum/Diamond Exclusive Lounge is accessible.
     

  • Events: Fursuit Parade, Talent Show, and Night Dance Events accommodate mobility, sensory, and other needs. Headless Lounge provides rest areas with water/snacks.
     

  • Materials: Program book and website offer large-print and screen-reader-compatible formats. Signage includes high-contrast text.
